Arrival via Coach

You will need to refer to your booking form regarding where your coach will need to drop you off. For stand alone visits (where you are visiting just one place of worship) you will most likely be dropped off at the place of worship. Both Gurdwaras have space outside for coaches to park, the Mosque is located between tight side streets so large coaches may struggle to manoeuvre. The Hindu Temple has a car park where the coach(es) can park during a visit. Our staff will be waiting for you at least 10 minutes before your session is due to start.

For schools taking part in multiple activities over the course of the day you will most likely be dropped off at the Open Centre. There is a layby outside, however this can fill up after 10am and if that is the case, coaches will still be able to pull up outside the Open Centre but may not be able to park there for the majority of the day. If this is the case, your coach driver will be advised to park at Pride Park. Our staff will be waiting for you at least 10 minutes before your session is due to start.

Arrival via Foot

If you are walking to your activities, please refer to your booking form for your booking/arrival location. Our staff will then meet you at this location at least 10 minutes before your expected to arrive. If you arrive earlier than 10 minutes before, please wait until this time before calling the Open Centre. Our staff are paid for their time but we do not expect them to arrive more than 10 minutes earlier for a session at a place of worship.

If you think you are going to be more than 10 minutes late, please contact our office on 01332 360737 to notify our staff so we can review your timetable and let our staff know, if they are out waiting at the venues. Failure to contact us may result in your sessions being cancelled. Please see our terms and conditions for more information.

Welcome

All our staff will be wearing their name badge so they can be identifiable. Please see our staff page for our staff list. We send out which staff you will be working with in advance. Upon arrival, our staff will ask to speak to the group leader, who they will then introduce themselves formally to and explain what they would like the group to do next.

If you are staying for lunch, we ask you to already have the children's lunch boxes bagged up in black bags so they can be easily and quickly unloaded from the coach or when you arrive. 

Toilets

Each venue has a limited number of toilets visitors can use but to ensure we keep to our running times, please keep toilet breaks to a minimum. If a toilet break is needed, children must be accompanied to the toilet by an adult and must notify Open Centre staff, particularly if they need to go during a session at a place of worship. 'Buffers' are included in the timetable for the day to help minimise disruption to sessions for toilet breaks.

Health and Safety

When you arrive, our staff will ask you how many adults and how many children you have brought with you. It is important to know this information, as we use this as part of our risk assessments for fire safety. Our staff will then pass this information on to other staff throughout the day therefore if your numbers change for whatever reason, please ensure our staff members know this. If you are going to be walking from one venue to another as part of your visit, our staff will explain the safe walking procedures before starting out from each venue. We recommend that school staff/adults spread themselves out along the line, and that one staff member is at the front of the line with our staff member so information can be communicated quickly.

Our staff member(s) will always be with you during your stay, except for lunch, so you will always have someone who is familiar with the area and venue at each point of the day. This ensures that you have the best experience possible. At the beginning of a session our staff may ask the group leader what the children have already been learning about regarding that topic or if they would like us to cover something specific during their session. We ask this information in addition to on the booking form as we understand things can change from when you first booked. This way you know you will get a tailored experience specifically designed for your group.

Health and Safety

As much as our staff are in charge of activities, school staff/leaders remain ultimately responsible for the behaviour and health and safety of the group. If Open Centre staff feel at any point this is compromised, they will contact the Manager and they may make the decision to stop visits if this is the case.

Questions

We work with children as young as 4, all the way to A-level so there is most likely a question we haven't heard before. We always say at the start of visits 'there is no such thing as a silly question' as this is your perfect opportunity to find out what you want to know from people who are living that religion or culture. So please ask away! 

Toilets 

If you or any of the group need the toilet during a session, please try to keep toilet breaks to the start or end of a session to avoid disrupting activities and missing out on key learning. Our staff will explain where toilets are in each venue. School staff must accompany children to toilet at all times, as many of our venues have members of the public using them at the same time and for safeguarding reasons children must not be left alone.

Etiquette in Venues

Each venue has its own sets of do's and don'ts which our staff will explain when arriving at each venue. You may be asked to cover your head, take your shoes off, wash your hands or separate into boys and girls. Our staff will explain the reasons behind these at each venue. If for any reason you are unable to do any of the above, please talk to our office or staff member.

As many of the places of worship are also open to members of public, we ask for school staff to ensure children move around buildings in a quiet and respectful manner. We also ask the groups are mindful of the small spaces the groups may use e.g. shoe rooms and ask if school staff can send small groups in at a time rather than the whole group.

If you are staying at the Open Centre for lunch, you will be allocated a lunch room. Our staff member upon arrival will explain this to the group leader. This is where groups can leave their lunches during sessions/activities. We do ask however you do not leave valuables in lunch rooms as we cannot always guarantee its security. The Open Centre is not liable for the loss of any valuables during a visit.

When lunch time arrives, our staff will show you to your lunch room and explain where our staff will be during this time (we have to have lunch too). We will also explain what time your next session will be due to start. Please note this may be different to your original booking form as timings often change throughout the day. We will always do our best to ensure children get adequate time to eat whilst also considering the impact lunchtimes may have on the remainder of your activities.

We ask at lunch, if children can use the toilets (preferably in small groups at a time) whilst supervised by an adult. We ask that once lunch is over, if adults can check the toilets to ensure no taps are left running and that they are in a 'presentable' state before groups leave.

Our staff will then collect your group and either escort you to your next activity or escort you to your coach if departing after lunch.

Once you have finished your activities for the day, our staff will escort you to your coach. We will also assist you ensuring you have everything you have brought with you and ask if you have enjoyed your stay at the Open Centre. We may ask you to complete a feedback form before you depart.

We will then look forward to hopefully seeing you again in the near future!

If we are leading sessions at your school/venue, our staff will aim to arrive at least 30 minutes before the session is going to start so they have plenty of time to unload materials and set up the activities. We ask if spaces can be cleared ready for our arrival and that reception staff know to expect us. If our staff are going to arrive late mainly due to traffic, we will contact you with as much notice as possible to avoid disruption to the day.

Break Times

The Open Centre will have sent a timetable in advance of sessions, we therefore ask if staff can review this timetable and move break times around these sessions to avoid the timings being altered. If break times cannot be moved this should be discussed in advance of sessions otherwise it may mean sessions are cut short if a break time occurs during the middle of one.

Once the session has finished, our staff will need time to clear away their session materials (sometimes this can take quite a while especially for food workshops). We therefore ask if any staff can help our staff with tidying up if the room is needed for other activities straight after ours.
